DORIER SA Data Privacy Policy
DORIER SA (“Dorier”), 9, Rue du Pré-Bouvier, 1242 Satigny, Geneva, Switzerland is a Geneva-based audiovisual and creative technical production company serving corporate and institutional clients around the world (the “Client”).
According to the article 27 of the GDPR, MCI Benelux SA, Avenue des Arts 47, 1000, Belgium, has been appointed by mci group as representative within the European Union.
This Privacy Policy sets out how Dorier processes and protects any information collected through:
- Website and marketing activities: Dorier acts as a data controller.
- Client projects (e.g., events organised for a client): our client acts as the data controller, and Dorier as a data processor on the client’s documented instructions.
If you exercise your data-protection rights in relation to a client project, we may redirect your request to the client (or assist the client) where required by law or by contract.
It is Doriers utmost concern to constantly improve its services in order to best meet the needs of its Clients. To this end, Dorier may collect and store certain information, including personal data of people like you. Dorier takes the protection of your personal data very seriously in all of its business processes. This Privacy Policy is meant to help you understand how data is collected, processed and stored to meet legal requirements and Dorier’s data protection standards. This Privacy Policy explains how we collect and use personal data, the choices you have, and how to contact us. Where we rely on consent for specific processing activities, we will ask for it separately, and you can withdraw it at any time.
1. SCOPE OF THIS PRIVACY POLICY
This Privacy Policy applies to all services offered by Dorier.
This Privacy Policy does not apply to services offered by other companies or individuals. This Privacy Policy does not cover the information practices of other companies and organisations who advertise Dorier services or any third party operating any website in which the Dorier website or other digital asset may contain a link.
2. DATA COLLECTED AND METHOD OF COLLECTION
Dorier collects general and personal data from:
- you when you provide your details to Dorier;
- its Clients (in such cases, Client must ensure that it is entitled to disclose such data and that you are aware of the various matters detailed in this Privacy Policy);
- participants at Client’s meetings and events organised by Dorier;
- users of Dorier’s or Client’s websites; and third parties (such as online service provider or single sign on authority).
Following the reception of the data, an electronic profile is created in Dorier tools for each person or entity (the “Contact Profile”).
Depending on the service and your choices, the Contact Profile may include the following categories of data (only where needed for the purposes described in section 3):
- name;
- gender;
- date of birth;
- address;
- phone numbers;
- email addresses;
- nationality
- physical location data during an event
- ADA (American Disability Act) information
- food allergies or preferences
- emergency contact information
- organisation or company of employment and/or job title;
- field of activity and/or interest;
- credit card references/numbers;
- travel destinations;
- travel schedules;
- travel preferences;
- accommodation preferences;
- other communicated preferences;
- passport;
- visa details and
- additional information as requested by Clients on events.
Some data we may process can be considered sensitive (e.g., accessibility requirements, disability related information, or certain dietary requirements where they may reveal health or religious beliefs). Based on the minimization principle we only process such data when:
- it is strictly necessary for the relevant service (e.g,. Provide accessibility or safe catering), and
- We have a valid legal basis under applicable law, including explicit consent where required.
Where we rely on explicit consent, we will ask for it separately (for example, via a registration form that clearly explains what the data will be used for).
By attending an event, the individual authorises, free of charge and without consideration of any kind whatsoever, that any image and sound recording made in connection with the event, by video and/or audio recording, and/or photograph on which it appears, may be used, reproduced, modified and broadcast on any medium known or unknown to date and in particular on social networks or its Sites within the meaning of the regulations in force, or their partners, for the duration of exploitation of the video and/or audio recordings, and/or photographs.
Attendees are informed of the presence of photo/video and/or audio recording devices on-site, in particular through visible notices and/or announcements during the event. If an attendee has questions or concerns regarding recordings, or wishes to raise an objection in specific circumstances, they may contact the registration team or the on-site event team, who will provide information and, where reasonably possible, assist in addressing the request.
3. PURPOSE OF DATA COLLECTION
Dorier uses the data collected to provide, maintain, protect and improve the overall quality of its services. Data collection is also meant to protect Dorier and its users. Dorier does not collect more data than is necessary to fulfill such purposes.
In addition to creating Contact Profiles, Dorier uses your data for the following purposes:
a) Bookings: The Contact Profiles are stored in a database as a reference document to be consulted each time a booking is to be made. When a booking is made, Dorier creates a booking code that contains all of the personal data along with the booking information that is needed to fulfil your request and to fulfil regulatory requirements for certain destinations. To make bookings, Dorier might need to transfer personal data to various third-party travel suppliers (such as airlines, hotels, car rental companies, online booking tool companies, safety and security tracking providers and computer booking systems) within your home country or in another country where you may be traveling and sometimes also to government bodies for certain destinations.

b) Travel reports consolidation: At the request of a Client, Dorier or a third party may prepare information reports that summarise and analyse the expenditures per destination, per travel supplier, etc. Such reports which may include certain personal data from your Contact Profile are then submitted to the requesting Client.

c) Compliance with travel policy: At the request of a Client, Dorier may report on your compliance with the event compliance policy, budget compliance policy or travel policy of such Client and identify any exceptions to the compliance.

d) New products and services: With the goal of improving services and based on the data given to Dorier, Dorier may send you additional information related to your current or future event(s) and/or trip(s). An example might be a list of restaurants near a specific hotel in the destination city or parking facilities at the departure airport.

e) Promotion and Marketing: Dorier may use your data to personalise your experience on the Dorier website by presenting advertisements that are more relevant to you, to send you marketing communications that we believe may be of interest to you, including information about our services, case studies, thought leadership or whitepapers, blog updates, etc. For example, Dorier uses third party service providers to present services and offers tailored to the preferences and interests demonstrated by your online activity over time. Dorier may use your data for promotion and marketing purposes for Dorier’s current or prospective Clients and/or third parties in Dorier’s industry. Dorier may use your data to personalise your experience on the event website by presenting advertisements that are more relevant to you, and to send you marketing communications as chosen by you in the registration process. Dorier may use the data to analyse trends in order to propose other services to its clients, such as new events or other services.

f) Statistical analysis related to websites: Dorier, or third parties instructed by Dorier, evaluate this data purely for statistical purposes and only in an anonymised form, in order to optimise Dorier’s website and increase user-friendliness, efficiency and safety. Dorier may in particular use technical data to measure the success of Dorier marketing campaigns, compile statistics about Dorier website usage and response rates, and use aggregated personal data calculate the percentage of Dorier users who have a particular telephone area code.

i) Other Purposes: Dorier may use your data as Dorier believes to be necessary or appropriate: (1) under applicable law, including laws outside your country of residence; (2) to comply with legal process; (3) to respond to requests from public and government authorities including public and government authorities outside your country of residence; (4) to enforce Dorier’s terms and conditions; (5) to protect Dorier’s operations; (6) to protect Dorier’s rights, privacy, safety or property, you or others; and (7) to allow Dorier to pursue available remedies or limit the damages that Dorier may sustain; (8) to allow you to apply for a Dorier job offer.
Dorier will ask your consent before using data for a purpose other than those that are set out in this Statement subject to mandatory laws.
4. DURATION OF STORAGE
General and personal data will be kept by Dorier no longer than necessary for the execution of the purposes aforementioned. Dorier will retain general and personal data during a maximum period of five years if there is no specific legal requirement. Where processing is subject to statutory, financial, or regulatory requirements, retention may extend beyond the general period in accordance with the relevant legal obligations. Where specific local laws impose longer or shorter retention periods, those local rules prevail.
Marketing contact data is retained in accordance with our internal data consent policy. If you withdraw consent or unsubscribe, your contact details are placed on an unsubscribing list which is kept for three years to ensure we respect your communication preferences.
Applicants who have created a profile on https://careers.mci-group.com/go/Dorier/8725502/ can link their application to a job offer. All applicant profiles that have been inactive for two years are automatically deleted after having informed applicants.
You may cancel/delete your Dorier account by sending an email to our Data Protection Officer: privacy@dorier-group.com.
5. LOCATION OF STORAGE AND CONTROLLER OF DATA BASE
The Contact Profiles that Dorier maintains are stored in cloud-based central databases at third-party providers’ located in Europe, United States and Asia. Third-party providers have signed our dedicated data protection clauses.
Any transfer of your Data outside the European Economic Area shall only take place with suitable safeguards in place, such as contractual terms in compliance with applicable data protection laws and regulations.

6. LOCATION OF STORAGE AND CONTROLLER OF DATA BASE
You must ensure that the data you provide us with is:
- correct;
- accurate;
- current;
- truthful; and
- compliant with any applicable laws
In particular, since Dorier will mainly communicate via e-mail with you, you are required to notify us of any modifications of your e-mail address. Otherwise, you can directly update your data on your Contact Profile.
Dorier is committed to protecting the privacy needs of children and we encourage parents and guardians to take an active role in their children’s online activities. Dorier does not target the digital asset of children below the applicable age of digital consent in the relevant jurisdictions.gly collect information from children for the purpose of selling products or services.
7. TRANSFER AND COMMUNICATION OF DATA
7.1 In General
Dorier has offices in Switzerland, Asia and Latin America. Your personal data may therefore be transferred to and outside of Switzerland, including in countries whose data protection laws may be different from, and less stringent than, those in your country of residence. You hereby agree and give your consent to Dorier to transfer and communicate your data as follows:
a) Transfers within the Dorier group: Transfers are made throughout Dorier and its subsidiaries to support its activities and/or services.
b) Transfer to third-party: Dorier works with certain third parties to obtain support services in connection with Dorier services. Dorier may also transfer personal data to third parties at the request of its Clients. For example, Dorier may transfer your data to third parties for promotion and marketing purposes as outlined under 3e) above. Dorier may also transfer your data to a third-party in the event of any reorganisation, merger, sale, joint venture, assignment, transfer or other disposition of all or any portion of Dorier business, assets or stock (including in connection with any bankruptcy or similar proceedings). Prior to a transfer, third-parties are required to sign a data processing agreement with Dorier that requires them to follow the applicable data protection laws. EU Standard Contractual Clauses (SCC) are included in annex to apply appropriate safeguards with third-party countries.
As part of its activities, mci group works with a certain number of recurring partners who process personal data on our behalf for specific purposes:
- Online Audience response systems
- Virtual Event hosting platforms
- Mobile event application
This list is not exhaustive and can be updated from time to time. We invite you to regularly consult this list to keep up to date with any changes.
Dorier is using Microsoft Office 365, Cloud Azure with servers located in the EU (specifically in Ireland and The Netherlands).
c) Regulatory transfers: Dorier may be required by law to transfer data to governments and regulatory and/or supervisory authorities.
While attending an event organised by Dorier on behalf of one of its Clients, your data will be collected on the instructions of our Client, the data controller, and transferred to mci group acting as data processor for project management purposes.
8. SECURITY AND ORGANIZATIONAL MEASURES
To ensure the safety of your data on Dorier’s website and systems, Dorier has implemented appropriate technical, contractual, administrative, physical and organisational measures to protect your personal data from loss, destruction, unauthorised access, accidental or unlawful disclosure and manipulation. These measures are subject to continuous development in accordance with technological progress and are periodically reviewed to comply with all applicable privacy laws. However, we cannot and do not guarantee the security of your personal data and therefore cannot assume any liability in this respect.
Only authorised Dorier staff, third party companies’ (i.e. service providers) staff or our Clients’ authorised staff (who have contractually agreed to keep all information secure) have access to your personal data. All Dorier staff who have access to your personal data are required to adhere to the staff confidentiality regulations and all third-party employees who have access to your personal data have signed non-disclosure agreements. In addition, data transfer agreements are in place with third-party companies that have access to your personal data to ensure the security of your data.
9. YOUR RIGHTS
In accordance with applicable data protection laws and regulations, you have a right to request access to, rectification and erasure of your Data, or restriction of processing, and to object to said processing, as well as the right to data portability, unless Dorier has to keep this data for legitimate business or legal purposes. For more information, you should contact the Data Protection Officer at the above-mentioned e-mail address. Moreover, you have the right to lodge a complaint with a supervisory authority.

By contacting the Data Protection Officer at the above-mentioned e-mail address, you may ask to be opted-out from receiving future electronic marketing messages from Dorier and request that we stop sharing your personal data with unaffiliated third parties for their marketing purposes. Dorier will try to comply with your request(s) as soon as reasonably practicable and within thirty (30) days.
Please note that if you opt-out as described above, Dorier will not be able to remove your personal data from the databases of unaffiliated third parties with which Dorier has already shared your personal data (i.e., to which we have already provided your personal data as of the date that we implement your opt-out request). Some third parties may act as independent controllers and must be contacted directly for their own processing.
Please also note that if you do opt-out of receiving marketing-related messages from Dorier, we may still send you important administrative messages which you cannot opt out from.
10. CHANGES
This Statement may be revised and updated by Dorier from time to time to comply with statutory data protection and privacy laws. Dorier will post any statement changes on its website and, if the changes are significant, Dorier will send a notice to the e-mail address provided in your Contact Profile.
